Position Summary
Under the general direction of the Finance Director, this position is expected to assist Village staff with and be responsible for various Finance Department tasks and duties. This is primarily a flexible schedule position during regular business hours, working in person at Village Hall for an expected average of 18 hours per week. Starting range of $25.52-$29.59/hour. Position Description
Under the general direction of the Finance Director, the Accounting & Finance Assistant is responsible for various monthly account and fund reconciliations, prepares journal entries, posts data to various financial registers, and completes various statistical analyses. This position assists management staff preparing monthly budget and expense reports, and assists with various annual financial reports.

In addition, this position assists with biweekly payroll functions and assorted year-end W-2, W-9, 1099, and other tax reporting responsibilities, as appropriate. Performs other duties as assigned or required.

Compiles monthly bank reconciliations for cash accounts; reconciles bank statement balances to monthly trial balance

Reconciles various accounts including miscellaneous income, reimbursed income, refuse and garbage stickers, and Police Pension Fund

Prepares journal entries to affect adjustments, transfers, and corrections to the general ledger and subsidiary ledgers. Posts journal entries after Finance Director approval

Post data to various ledgers, registers journals and logs according to established accounting techniques and procedures

Input and retrieve from the Village’s financial system a variety of financial and statistical information using a computer terminal. Checks and tabulates statistical and financial data

Monitor and balance various accounts; verify availability of funds and classifications of expenditures; research and analyze transactions

Assists the Finance Director in reconciling discrepancies in any of the various accounting control mechanisms by cross-checking source documentation, balancing figures, or related items

Assists management staff preparing the annual budget by providing information; prepare monthly reports from budget information, expense reports and other sources of financial information. Prepares comprehensive financial studies, reports and statements as directed

Performs various payroll related functions, as assigned by management

Prepares the daily deposit for cash register, water billing and daily commuter parking collections

Prepares and processes manual checks as needed, mails and files copies with supporting documentation

Maintains accounting files, prepares files for auditors and storage

Maintains a log of standard operating procedures for the performance of all critical job functions

Occasionally relieves the receptionist at the front desk

Follows all safety regulations, policies, and procedures; follows recognized safe work practices

Performs other duties as assigned or required.

Successful applicants for this position must possess:

An associate’s degree with major coursework in the business or accounting curriculum, with a minimum of two years of experience in bookkeeping or accounting in a modern office setting (preferably supplemented by coursework in accounting and finance); or an equivalent combination of training and/or experience.

Sixty (60) semester credit hours of successfully-completed, college-level, accounting-related coursework is required in lieu of the Associate’s degree.

Must be proficient in Microsoft Excel, Word, and PowerPoint. Previous municipal experience, enterprise resource planning software experience, and/or CPA preferred but not required.
