Position Summary
Jackson County has an immediate opening for a part time ADMINISTRATIVE CLERK for the MSU Extension Office. Successful candidates must have one to two years experience in a secretarial/administrative office capacity and be proficient with word processing and spreadsheet programs. Account keeping experience and the ability to type 45 WPM and/or pass a data entry test with a minimum of 5000 keystrokes also required.

RESPONSIBILITIES:
Performs a variety of clerical and general administrative tasks in support of departmental staff and programs. Prepares correspondence, maintains records and filing systems, prepares various reports and other documents and may assist in processing of accounts payable and receivable. Assists visitors and callers with information on department services and by responding to specific inquiries. May assist with other specific department related projects and programs as assigned.

Essential Functions include but are not limited to:

1. Prepares documents including typing of correspondence, forms and reports, flyers, brochures, and other materials.
2. Maintains department filing and record systems. Processes various administrative records.
3. May serve as receptionist and greet the public in person as well as by telephone. Answers routine inquiries requiring general familiarity with departmental operations, programs and procedures. Assists individuals needing various forms or other information.
4. Processes or assists with accounts payable. Prepares vouchers for payment, verifies supporting documentation, identifies proper account, adds vendor number and transmits for payment.
5. Processes or assists with accounts receivable. Gathers information on services provided to clients and customers and prepares invoices. Sends invoices to the appropriate payer and receives and posts payment to the appropriate account.
6. Performs a variety of clerical support tasks such as making copies, opening, sorting and distributing mail, sending faxes and related tasks.
7. Operates a computer to input statistical, background and financial data such as client information, and services provided and money collected so that reports required by grants and other funding sources can be generated.
8. Maintains information for program clients assuring that proper documents are completed to ensure appropriate client billing of account. Establishes and maintains department data bases, records and mailing lists to maintain an effective information system for assigned program areas.
9. Assists with processing of payroll for the department including review to ensure to ensure overtime and leave provisions are properly applied. Enter payroll information to the computer, codes payroll information.
10. May assist with opening and accounting for money received for services provided. Counts money and verifies the amount, bundles paper money, counts all collected money and verifies amount against the deposit slip.
11. Receives and processes soil, insect and plant samples from the general public for testing. Obtains accurate and complete information for each sample, collects appropriate fee, and prepares sample for forwarding to test site.
12. Assists with miscellaneous projects as directed.


QUALIFICATIONS:
High school graduation or equivalent. Prefer some advanced coursework in word processing, spreadsheets and accounting. One to two years experience in a secretarial/administrative office capacity. Prefer experience with word processing and spreadsheet programs and account keeping experience. Ability to type 45 WPM and/or ability to pass data entry test with a minimum of 5000 keystrokes.

Other Requirements: Depending on specific department assignment, may require one or more of the following: Valid Michigan Drivers’ License; Maintain standing as a Notary Public.
